Who are we?
Hawza Online is part of The World Federation of Khoja Shia Ithna-Asheri Muslim Communities (KSIMC), which has existed for over 40 years. The World Federation is registered in England and Wales under charity number 282303 and are also an NGO in Special Consultative Status with the Economic and Social Council (ECOSOC) of the United Nations. For the purposes of the GDPR the World Federation is a data controller.

How do we collect information
Information you give us – for example, when you engage with our social media or message boards, make a donation to us, register for an event or otherwise provide us with personal information.

Information we get from your use of our website and services – we collect information about the services you use and how you use them. Wherever possible we use aggregated or anonymous information which does not identify individual visitors to our websites. When someone visits our website we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Information from third parties – we may also receive information about you from third parties. This can include information such as your name, postal address, email address, phone number, your geographic location (for mobile devices), credit/debit card details and whether you are a tax payer so that we can claim Gift Aid. We, like all companies, are able to confirm what browser you are using, IP address and computer operating systems that are being used and this information may be used to improve the services we offer.

How do we use your information?
We may use your information to:

  • process a donation that you have made
  • process orders that you have submitted
  • to carry out our obligations arising from any contracts entered into by you and us
  • seek your views or comments on the services we provide
  • notify you of changes to our services
  • send you communications which you have requested and that may be of interest to you. These may include information about campaigns, appeals, other fundraising activities and promotions
  • process a loan, grant or job application

We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example the collection of Gift Aid). We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.

We will not sell or rent your information to third parties.

We will not share your information with third parties without your explicit consent.

When you are using our secure online donation pages, your donation is processed by a third party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions. If you have any questions regarding secure transactions, please contact us.

We take your data security very seriously and as far as possible your data is stored within the EU and, or EEA or countries deemed adequate by the ICO. If your data is unavoidably stored outside of these regions we will ensure that it is held securely and to the same standard as it would be in those regions; if this is not satisfactory to you, you may exercise your right opt out and we will delete or forget your data as appropriate.

We may transfer your personal information to a third party in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our supporters and customers. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.

Legal Bases
Under the GDPR we must have a legal basis to process your information.

In most cases we collect and process your data with your consent, for example, when you sign up on our website to receive marketing material from us.
Sometimes we need your personal information to comply with our contractual obligations, for example, when you make a donation we ask for your billing address and card details.

If the Law requires us to we may need to collect and process your data, for example, when we claim gift aid we send your details to HMRC.

In specific situations, we require your data to pursue our legitimate interests in a way which might reasonably be expected as part of running our business and which does not materially impact your rights, freedom or interests, for example, when we contact you to inform you about the progress of a specific donation you may have made.

Marketing
We will not use your personal information for marketing purposes if you have indicated that you do not wish to be contacted by us for such purposes. However, we will retain your details on a suppression list to help ensure that we do not continue to contact you.

Access to your information and correction
You are entitled to view, amend, or delete the personal information that we hold. You also have a right to restrict how we contact you. Please email your request to [email protected].

You have the right to request a computer file in a common format (e.g. CSV or similar) containing the personal data that you have previously provided to us and the right to have your information transferred to another entity where this is technically possible.

Cookies
We do not use cookies to personally identify anyone. If we use them, it is to enhance your experience when using the website by identifying how it is being used and where we can make improvements.
